Choosing the right channel for your message may very well determine whether someone will take the time to read or listen to it. It can also affect the extent to which a person engages with and is able to recall your message. Hence, the communication channel matters!
Let’s start by clearing the air: choosing the best communication channel for different messages seems like a pretty obvious task at first. Choosing to send an email or hold a meeting is pretty straightforward, isn’t it? Truth is, it’s not always that simple. Many of us get stuck in a routine, sending emails for most of our day-to-day messages and holding regular in-person or online Zoom meetings when we need to get in a group without thinking much about the reason for doing so. That routine, however, can impede productivity if the channel isn’t effective for our audience(s) and the long-term value of the message.
Taking a more nuanced perspective on choosing a communication channel, start by asking yourself if you should use synchronous or asynchronous communication. Synchronous communication is when you’re communicating in real-time, like an in-person conversation, a phone or video call, or a live chat. Asynchronous communication is when you communicate and responses are delayed, like with email or project management apps.
