Workshop 6.2: Creating a Change Control System with Three-State Workflow

In this workshop, you will create a change control system for the case study project in your PMIS. The change control system will have three states: proposed, in review, and approved. When a change request is submitted, the initial state of the request will be set to Proposed. A task will be assigned to the appropriate person(s) to review the request. The reviewer will then go to the task list and approve it by setting its status to Completed. Once this is done, the workflow for the change request will automatically be updated to In Review. A task assignment will automatically be made to the individual responsible for taking action on the second state. This is where the workshop ends. In a real situation, however, once the individual responsible for the second state updates his task list to Completed, the workflow of the change request will automatically enter the third state, Approved.

For fields and settings that aren’t mentioned in the workshop steps, accept the default settings.

Part 1: Creating a Custom List

  1. Access your PMIS, and click Site ActionsMore Options.

  2. In the Lists section, select Custom List and click More Options.

  3. A page similar to Figure 6-22 will be displayed. Enter the following values:

    Name: Change Request
    Description: Change Request List
    Display this list on the Quick Launch: Yes
