14.1 User profiles - the tool for creating groups
For companies with more than 20 employees, we suggest that you create groups
for students. You can do this either in advance of or after importing users.
However, if you are in the early stages of the deployment, we recommend that
you prepare user profiles in advance, and use them during registration.
The User Profiles are used to create groups of users in LearningSpace 5 Core.
You can create User Profile Categories, which can contain several User Profiles.
The User Profiles can be used to:
򐂰 Search data according to a user’s membership in a User Profile
򐂰 Assign permissions for the members of a profile
򐂰 Enable access for profile members to have a look at the group members
records via profile matching
򐂰 Enroll profile members into courses
򐂰 Create reports according to membership in a profile

Figure 14-1 shows an example of assigning profiles to users.

14.1.1 User profiles - controlling access
User Profiles can be used to control security. You can set permissions to profiles
but not directly for users. Users get all the permissions of the profiles to which
they belong.
For example, look at the default access rights of the Students profile members to
the My Course page elements, as shown in Figure 14-2.

Security depends on profiles in two ways:
򐂰 Profile matching for restricting what can a user see from other’s records
򐂰 Permissions assigned to the profiles

Permissions for User Type profiles
A complete list of the modules’ permissions and the default status values for the
profiles of the User Type profile category is shown in Table 14-1 on page 188. For
a detailed explanation of these profiles’ effects on access rights, see Chapter 2 of
the LearningSpace 5.01 Course Administrator’s Guide.

14.1.2 User profile design checklist
Study the following points before creating user profiles:
򐂰 Try to keep categories and profiles as simple as you can.
򐂰 Although you can create profile categories with several profiles so that a
student could belong to some or all off of them, avoid doing so. Preferably,
give only one profile for every user per profile category. Try to define
categories with a distinct profile membership, especially in the following
cases:
