In the early days of SharePoint, I worked with a site administrator who came up with an elaborate file-naming convention and a nested folder structure for the project documents. My coworker thought the approach would resolve all the complaints from people about not being able to find documents they needed quickly.
At first, it was great to see all the folders and subfolders neatly structured by project phase and project tasks respectively. Unfortunately, I had just barely passed the Project Management Professional certification exam so expecting me to remember what type of document goes into what folder or subfolder was a bit of a stretch. You can just imagine what it was like for the non-project manager types: “Monitoring and Controlling phase, huh? What’s that?” In the end, the site admin became the only person saving and retrieving files for us because no one had the time or the desire to learn this new filing system.
