Editing Invoices and Sales Receipts

Editing invoices and sales receipts is easy, even if you've already saved them. If you're still in the process of creating an invoice or sales receipt, you can jump to any field and change its value, delete lines, or insert new ones. In fact, any time you have an invoice visible in the Create Invoices dialog box (or a sales receipt in the Enter Sales Receipts dialog box), you can click any field and make any change you want. If you've already printed the invoice or sales receipt, turn on the "To be printed" checkbox, so you don't forget to reprint the form with the changes you made.

Tip

If you've received a payment against an invoice, editing that invoice is not the way to go. Editing an invoice with a linked payment can disrupt the connections between payment, invoice, and accounts to the point that you'll never straighten it out. If you undercharged the customer, simply create a new invoice with the missing charges on it. If you charged the customer for something he didn't buy, issue a credit memo or refund (see page 219).

Top: If you know the customer, amount, or approximate date of the sale, you can scroll through the Accounts Receivable register until you find the invoice that you want. QuickBooks shows the type of transaction in the second row. INV represents an invoice, whereas PMT represents a customer payment. If you have more detail about the invoice you're looking for, in the icon bar, click Go to, to open the Go To dialog box.Bottom: In the Go To dialog box, in the Which Field, choose the field that contains the most distinct text, such as Payee/Name. Then, in the Search for box, choose the text you're looking for. Click Prev or Next to find the next matching transaction in the register.
